Your business operates across multiple sites, in 4 cities, with a regular turnover of student staff. Can you really control all of that from a single workforce management solution?

Jayne Dunne can. She’s the payroll manager of Baa Bar, a chain of late night bars with branches in Liverpool, Manchester, Nottingham and Leeds.

At any one time the company could have 200-250 staff on the books. By the very nature of the business (and the students who fill many of the vacancies) there’s a lot of to-ing and fro-ing. And that’s before managers and staff are occasionally allocated to different branches to cover emergencies. Happily, keeping track is easy with Platinum+.

“When one of our managers or staff changes site it’s really easy to switch them,” Jayne explains. “So that means flexibility, training and the ability to operate effectively isn’t compromised because the system ‘won’t let us’. It’s really flexible and lets us move people around easily.”

Making payroll faster and easier

Baa Bar uses Sage Payroll, and needed a time and attendance system that would integrate seamlessly with it.

“Before Platinum+ and the hand scanners we were using manual clock cards, and manually collating the time and attendance information every week,” says Jayne. “It was an old system and when we wanted to import information into Sage the only way to do it was also manually. We didn’t have too many problems with keying errors or that sort of thing, but it did add on quite a few hours to the way we’re working now.

“Now the system collates the time and attendance information automatically and export it across to Sage. There’s no manual work needed.

Making the change

Was there a big cultural change needed with the arrival of hand scanners? “No, not really,” Jayne continues. “We’d already had the clock cards so it wasn’t a great change for the staff – although it certainly looked and felt a bit trendier, which was probably a good thing for a bar like ours!”

Getting started Platinum+ has been installed at all of Baa Bar’s branches for around 2 years. How did Jayne feel about the way the system was installed, and the way she was able to get to grips with it?

“It was really good,” she confirms. “Addtime really looked after us and their team helped us with anything we needed. Since then it’s worked well.

“I’d recommend it. It’s a really straightforward, simple system to use – and I can use it remotely from home too.”
